Automating Shopify order processing
Automating order processing on Shopify usually starts with Shopify Flow, a no-code tool for building automations triggered by store events. Once the logic needed goes beyond what Flow can express, the next step is a service reacting to Shopify webhooks, or a Shopify Function for logic that runs at checkout itself.
How I approach an automation request
-
Check what Shopify Flow already covers
I first check whether the trigger, condition and action needed already exist as is in Flow, bearing in mind that some actions stay more complete on higher Shopify plans.
-
Assess a bridge through Zapier or Make
For a one-off task — tagging an order, notifying a fulfilment provider, syncing to an accounting tool — I check whether connecting a Shopify webhook to a tool like Zapier or Make is enough, without writing a full app.
-
Identify genuinely custom logic
When conditional routing gets complex, or several systems need to be orchestrated in sequence, none of these options is enough: that’s the signal a small application service is needed.
-
Build the service around webhooks
I have that service react to the relevant webhooks — a new order, a shipment, an order-processing event — rather than polling the API in a loop.
-
Separate checkout logic from post-order logic
If the logic needs to run at the moment of payment itself, that’s Shopify Functions territory, a feature reserved for Shopify Plus: I state this before any estimate.
What I hear regularly
- I tag my orders by hand depending on their content or destination
- I want to notify my fulfilment provider automatically as soon as an order comes in
- Shopify Flow doesn’t offer the exact action I need
- I re-enter every order into my accounting software
- Someone mentioned Shopify Functions for my need, without telling me it’s Shopify Plus only
What Flow and webhooks cover, and where it stops
Shopify Flow lets you build a no-code automation, as trigger → condition → action, reacting to a store event: a new order, a tag being added, stock dropping below a threshold. Its coverage has broadened over time, but some actions or triggers remain more capable on higher Shopify plans.
To go further, Shopify webhooks — orders/create, orders/fulfilled, fulfilment-related events, among others — notify an external system as soon as an event happens, in near real time, without repeatedly polling the API. That’s the basis for most order automation that falls outside Flow’s scope. For a business without dedicated development resources, connecting those webhooks to a tool like Zapier or Make often automates a concrete task without writing a full app. Genuinely custom logic — complex conditional routing, orchestrating several systems — needs a small application service built around those webhooks and the Admin API instead.
