Booking appointments online, by practitioner and time slot
An aesthetic clinic managed its appointments by phone, with a paper diary or a spreadsheet only one person could consult at a time.
The context
The clinic offered several types of treatment, carried out by different practitioners, each with their own hours and their own treatment durations depending on the procedure. Booking only happened by phone during opening hours, which ruled out any request made outside those hours and tied up reception time on a task that could largely be structured. A fair number of appointments were also missed without notice, for lack of a systematic reminder.
The goal was to offer online booking accessible at any time, respecting the real constraints of each practitioner and each type of treatment.
What I did

Modelled practitioners and treatments
Structured availability per practitioner, with the duration specific to each type of treatment and the gap required between two appointments where needed.

Online booking interface
Built a flow for choosing a treatment, a practitioner where relevant, then a genuinely available slot, with no risk of double-booking the same time.

Automatic reminders
Sent a reminder ahead of the appointment, to cut down on unannounced no-shows that blocked a slot with no way to reassign it.

Calendar view for the team
Built a dashboard letting the team view and adjust each practitioner's calendar, including manually blocking off a slot that had become unavailable.
